Terms of Service
The agreement that covers your use of Heartdove: your account, acceptable use, plans and billing, your data and our responsibilities.
Effective 20 October 2026
1. Agreement
These terms are an agreement between you and Heartdove (“we”, “us”). By creating an account or using Heartdove, you accept them. If you use Heartdove for an organisation, you confirm you can accept these terms on its behalf, and “you” includes that organisation.
Our Privacy Policy explains how we handle personal information and forms part of these terms.
2. The service
Heartdove receives submissions from forms on your websites, stores them in your inbox for the period your plan allows, and sends alerts and webhooks to the destinations you configure. Each message shows its delivery status as reported by our email provider and your destinations.
3. Your account
- You must be old enough to form a binding contract where you live, and the details you give us must be accurate.
- You sign in with a link sent to your email address, so keep that mailbox secure. You are responsible for activity in your account.
- Tell us promptly if you believe someone has accessed your account without permission.
4. Your forms and your visitors
You decide what your forms collect, so you are responsible for collecting it lawfully. That includes telling your visitors how their information is used, naming Heartdove as a provider where the law requires it, and getting any consent you need.
Do not use Heartdove to collect passwords, payment card numbers or other login or payment credentials. Collect sensitive information, such as health details or government identifiers, only where you are allowed to and you accept that alerts and webhooks deliver it to the destinations you choose.
5. Acceptable use
You must not use Heartdove to:
- send spam or unsolicited messages, or run phishing, fraud or impersonation schemes;
- collect information through deception, or from people who have not chosen to submit it;
- store or send unlawful, infringing or harmful content, or malware;
- get around plan limits, spam protection, origin checks or other security measures;
- overload, probe or disrupt the service, or test its security without our written permission;
- resell the service without a written agreement with us.
6. Plans, billing and renewal
- The Free plan costs nothing. Paid plans are billed in advance, monthly or annually as you choose, in US dollars, through Stripe. Prices exclude taxes, which are added where they apply.
- Paid plans renew automatically at the end of each billing period (a month or a year) unless you cancel before the renewal date. You can cancel at any time from billing, and paid access continues until the end of the period you have paid for.
- Moving to a higher plan or from monthly to annual billing takes effect straight away, with a prorated adjustment calculated by Stripe. Moving to a lower plan or from annual to monthly billing takes effect at the end of the period you have paid for.
- Except where the law requires otherwise, fees already paid are not refundable.
- We will give you at least 30 days’ notice of a price change, and it will apply from your next renewal.
7. Limits and holds
Each plan’s limits are listed on the pricing page. Submissions over your monthly allowance are held and released automatically, oldest first, when your allowance resets or you upgrade. A hold lasts at least 7 days and until one day after your next monthly allowance reset; held submissions not released by then are deleted. We never charge for usage over your plan.
We may slow down or refuse traffic that threatens the stability or security of the service, such as floods of automated submissions.
8. Your data
You own the content of your submissions. You give us permission to store, process and send it as needed to provide Heartdove to you, and for no other purpose.
Content is deleted on the schedule described in the Privacy Policy. If you close your account, we delete your account and workspace details within 30 days, except records we must keep by law. Ask us before closing if you need a copy of your submissions.
9. Third-party services
Heartdove relies on providers such as Supabase, Cloudflare, Resend and Stripe, and sends data to destinations you connect, such as Slack or your own webhooks. Destinations you connect are governed by their own terms. Once an email provider or destination accepts a delivery, we cannot control whether it reaches an inbox, but we show you the status it reports.
10. Availability and changes
We work to keep Heartdove available and reliable, but we do not promise uninterrupted service or a specific uptime. We may improve or change features. If a change materially reduces a paid plan during its term, we will tell you in advance and you may cancel for a prorated refund of the unused period.
11. Suspension and termination
You may stop using Heartdove and close your account at any time. We may suspend or close an account that breaches these terms, has unpaid fees, or puts the service or other customers at risk. Where reasonable, we will warn you first and give you a chance to fix the problem.
12. Disclaimers
Apart from what these terms expressly say, Heartdove is provided “as is” and “as available”. We do not guarantee that every message will reach an inbox, because the receiving mail servers and destinations are outside our control.
Nothing in these terms excludes or limits any right or guarantee that cannot lawfully be excluded or limited, including consumer guarantees under the law where you live.
13. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential losses, or for lost profits, revenue, data, enquiries or goodwill. Our total liability for all claims relating to Heartdove is limited to the greater of the fees you paid us in the 12 months before the claim and US$100.
14. Your responsibility for claims
You will cover our reasonable losses and costs from claims by others that arise from your content, your forms’ collection of information, or your breach of these terms.
15. Changes to these terms
We may update these terms. We will post the new version here with its effective date and, for material changes, email customers at least 30 days before they take effect. Continuing to use Heartdove after that date means you accept the updated terms.
16. Governing law
These terms are governed by the laws of New South Wales, Australia, and the courts there have jurisdiction, without removing any right you have to bring a claim where you live.
